This policy explains what personal details Aircova Ltd (“Aircova”) collects through aircova.co.uk, why we collect them and what your rights are under UK data protection law (the UK GDPR and the Data Protection Act 2018).

Who we are

Aircova installs, services and repairs air conditioning and air-to-air heat pumps in UK homes and small businesses. We are the data controller for the details you give us on this website. You can contact us about your data on WhatsApp or by phone on 07403 664179.

What we collect

  • Quote form: your name, phone number, email address, postcode, number of rooms and any message you write.
  • WhatsApp and calls: the messages, photos and details you choose to send us.
  • Survey and install: your address, details of your home and the equipment we fit, so we can price the job, register the warranty and keep service records.
  • Website data: basic technical data such as your IP address and browser type, which our hosting and security tools record to keep the site running safely.

How we use your details

We use your details to reply to your enquiry, prepare a quote, arrange a survey, carry out the work, register manufacturer warranties, meet our legal duties such as F gas records, and remind you about servicing if you ask us to.

Our lawful bases are taking steps at your request before a contract, performing that contract, our legal obligations, and our legitimate interest in running and protecting the business. We do not sell your details and we do not use them for third party marketing.

Forms and WhatsApp

When you send the quote form, your answers are saved on our website and a WhatsApp message with the same details opens on your device for you to send. WhatsApp is run by WhatsApp Ireland Limited, part of Meta, and its own privacy policy applies to messages sent through it.

Who we share details with

We only share what is needed to do the job: our website host, equipment suppliers and manufacturers when we register a warranty, and our accountants or professional advisers. We may also share details where the law requires it.

How long we keep details

Enquiries that do not lead to work are deleted within 2 years. Records of installs, warranties, F gas and invoices are kept for as long as the law or the warranty requires, usually up to 7 years.

Your rights

You can ask to see the details we hold, have them corrected or deleted, restrict or object to how we use them, or receive a copy to move elsewhere. Message us and we will reply within one month.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office. We would be grateful for the chance to put things right first.
